II.2.4) Description of the procurement
ACES Academies Trust currently comprises one large secondary School (Hinchingbrooke School) and four primary school (Cromwell Academy, Godmanchester Bridge Academy, Godmanchester Community Academy and Spaldwick Primary school), all situated on the western approaches to Huntingdon and within a 5-mile radius.
All schools within the Trust offer an environment for students to flourish and achieve their full potential through creativity. The schools have facilities constructed within the last 5 years through to a Grade 1 listed property at Hinchingbrooke School dating back to the mediaeval times. Hinchingbrooke School’s fabric in some areas has historically made it difficult to look clean – post cleaning but there is an ongoing refurbishment programme addressing these areas which is an opportunity to drive overall standards.
The current supplier cleans at four of the five schools, with Spaldwick currently being operated in-house.
Tender Information
The tender project is seeking to appoint a Supplier whose initiative and innovation will be welcomed for the provision of cleaning services within the schools’ facilities. The high-quality service levels proposed should maintain excellent standards throughout, resulting in a pleasant environment for both the pupils and staff.
The trust and school project stakeholder’s aims are as follows:
•Consistency of cleanliness across the estate
•Quality of local supervision (auditing/ training/ communication/ recruitment)
•Right sizing the day cover ( Hinchingbrooke)
•Upgrade of machinery and technology and review of chemicals required
•Disciplined reporting and adherence to the meeting cycle to assure that reactive and proactive works are prioritised and completed
•Development true sense of partnership with the successful service provider
This cleaning tender project is being run over the same time frame as a catering tender for the same schools, and, whilst the two projects are not linked, if your organisation can see economies of scale deliverable by bidding doth opportunities, there will be the opportunity to demonstrate these economies and advantages in the main ITT. For clarity however, the projects will remain entirely separate projects.
The basis and rationale that the Client requires the successful Supplier to operate to at all times is being able to provide a school cleaning service that is fit for purpose and that the Supplier is proactive in the management of the contract, thus ensuring that all specifications are achieved and that the frequency of cleans is as detailed within the tender specification.
The contract being tendered is for three years in duration from 1 August 2025 until end July 2028 with the option to extend upon agreement with the Client, for a further two-year period. The contract will be fixed price in nature, with the Supplier invoicing the Client for one-twelfth of the annual cost on a monthly basis, however the successful supplier will be expected to return hours not worked to the trust.
It should be noted that the successful Supplier will be expected to bring to the contract: innovation; technology; new equipment; and cleaning methods, with BICSc standards being achieved, as a minimum, thus ensuring that the highest levels of cleanliness are maintained in all areas at all times and also ensuring that the productivity of the cleaning operatives is enhanced moving forward into the new contract term.
