There is an exciting opportunity to join Bellway, one of the UK’s largest house builders. Our Thames Valley Division located in Reading is looking to recruit a Commercial Administrator to join the Division’s Commercial team. The Role The role of Commercial Administrator provides a range of administration support to the commercial and procurement teams. Principal accountabilities of the Commercial Administrator role include: To ensure all calls received into the Department are answered professionally and courteously. To communicate with the Head of Commercial and Commercial Manager to ensure administration support for the Department are fulfilled. Deal with telephone and email enquiries, organise meetings and diary management as and when required. To ensure filing is kept up to date for the Buying team orders, and correspondence. To ensure filing is kept up to date for the Surveying team subcontractor invoices, orders and correspondence. To assist in the liaising between sub-contractors to collect information to maintain / keep up to date the Coins tracking system, for example, insurance documents, health and Safety and bribery act documents. To support in building the Commercial section of the Board Reports. To support in building the Valuation Packs. General chasing up of sub-contractors. To assist with the admin team with the over flow of incoming calls To re-issue payment certs to subcontractors if requested or they haven’t received the original. To issue instructions to subcontractors for clients extras and sales incentives when received from the Sales team To process Customer Care payments on Coins, once approved and signed off by the Head of Customer Care Control Customer Care Contra-Charges and ensure they are reclaimed from Sub-Contractors Accounts. Prepare Interim payments for measured work for approval by Quantity Surveyors. To carry out any other reasonable tasks in accordance with operational needs as requested by your manager. Assist surveyors with data inputting the subcontractor payment matrix before the surveyors load on to Coins. Experience, Qualifications and Skills Experience Experience of working within a busy and fast-paced administration role. Experience of working with in the construction industry with a main contractor or sub-contractor is desirable. Qualifications and Training GCSE Maths and English – Grade 4/C or above (or equivalent) Skills and Aptitude Good interpersonal skills. Excellent organisation and administration skills, including good attention to detail Ability to work on own as well as part of a team Works effectively to deadlines and competently works on multiple tasks simultaneously Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems Committed to diversity and inclusion The Role and Working Conditions Willing to be flexible in respect to day to day duties and hours worked.
