The Opportunity
We are supporting an established environmental services organisation looking for an organised and detail-focused
Operational Administration Assistant to support its Hazardous Waste Operations team.
You will help ensure completed jobs are accurately recorded, supported by the correct documentation and ready for invoicing. Working closely with operations, sales, finance, suppliers and third-party contractors, you will maintain accurate records, follow up missing information and support an efficient month-end process.
This role would suit an experienced administrator who is confident working with financial, operational and compliance documentation and is comfortable following outstanding issues through to resolution.

Key Responsibilities
- Review completed jobs to ensure they are ready for invoicing within seven days wherever possible.
- Check that customer, operational and financial information has been recorded accurately.
- Ensure required supporting paperwork is attached to completed jobs.
- Check and record Duty of Care documentation, including waste consignment notes.
- Chase missing paperwork and confirmation of completed work.
- Identify discrepancies or incomplete information and escalate issues appropriately.
- Maintain accurate records and supporting documentation in line with company procedures.
- Work with sales and operations teams to provide effective administrative support.
- Support controls that improve the accuracy and efficiency of order processing and invoicing.
- Produce operational and management information reports when required.
- Support data cleansing and activities designed to improve reporting accuracy.
- Provide administrative support to the supply chain.
- Assist with system training for new employees.
- Answer incoming telephone calls and manage daily post when required.
- Provide administrative cover across other business functions.
- Complete other reasonable administrative duties as required.
Essential Requirements
- Previous experience in an administration, operations or finance-support role.
- Strong numerical skills and a high level of accuracy.
- Excellent attention to detail when checking financial, operational and compliance information.
- Good working knowledge of Microsoft Word, Excel and Outlook.
- Strong organisational and time-management skills.
- Ability to manage competing priorities and meet deadlines.
- Good communication skills and confidence dealing with colleagues, customers, suppliers and contractors.
- Ability to identify issues and escalate potential operational, financial or compliance risks appropriately.
- Proactive approach with the ability to follow outstanding actions through to completion.
Desirable
- Experience with invoicing processes, accounts procedures or financial ledgers.
- Experience producing management information or working within structured reporting processes.
- Previous experience within hazardous waste, environmental services or another regulated industry.
- Experience handling compliance or operational documentation.
- Experience working with suppliers or third-party contractors.
